This privacy policy distinguishes between two areas: the processing of personal data when visiting this website (e.g. contact and demo requests, hosting, cookies) and the processing that takes place in connection with the use of the club software e-MasterClub by a club and its members. For the use of the club software, the respective club is generally the controller under data protection law; e-MasterClub processes the resulting data in this case as a processor pursuant to Art. 28 GDPR on the basis of a corresponding data processing agreement. Further details are governed by this agreement and our Terms and Conditions. Section 7 of this policy describes the processing within the club software in more detail.

Recipients of Personal Data

As part of our business activities, we work with various external parties. This sometimes also requires the transfer of personal data to these external parties. To confirm your email address, we send you a six-digit confirmation code valid for 15 minutes; only after entering it is your inquiry stored and forwarded to our team. Unconfirmed inquiries are automatically deleted after 7 days. To protect against abusive form submissions, we additionally use technical measures (including rate limiting, a time-based check, and a honeypot mechanism).

The processing of this data is based on Art. 6(1)(b) GDPR, provided your request is related to the performance of a contract or is necessary for the implementation of pre-contractual measures. In all other cases, processing is based on our legitimate interest in the effective handling of inquiries addressed to us (Art. 6(1)(f) GDPR) or on your consent (Art. 6(1)(a) GDPR), if this was requested; consent can be revoked at any time.

The data you enter in the contact form remains with us until you request its deletion, revoke your consent to its storage, or the purpose for storing the data no longer applies (e.g. after your inquiry has been fully processed). 5. Demo Request

A newsletter is not currently offered via this website.

Data Processed

If you request a non-binding live demo via the demo form, we process the email address you provide and, if given, the club name and preferred appointment. To confirm your email address, we send you a six-digit confirmation code valid for 15 minutes. After successful entry of the code, your inquiry is forwarded to our team for processing and stored in our database. To protect against abusive form submissions, we additionally use technical measures (including rate limiting, a time-based check, and a honeypot mechanism).

Legal Basis

Processing is based on your consent (Art. 6(1)(a) GDPR) as well as, insofar as the request serves to initiate a contract for the use of e-MasterClub, on Art. 6(1)(b) GDPR. You can revoke consent you have given at any time for the future, for example informally by email to vertrag@e-masterclub.de.

Storage Duration

Unconfirmed inquiries are not stored permanently. Confirmed demo requests remain with us until the purpose of the request has been fulfilled or you object to or request deletion; statutory retention obligations remain unaffected.

Inquiries by Email, Telephone, or Fax

If you contact us by email, telephone, or fax, your inquiry, including all resulting personal data (name, inquiry), will be stored and processed by us for the purpose of handling your request. We do not pass on this data without your consent.

7. Processing Within the Scope of the Club Software e-MasterClub (SaaS)

Distribution of Roles: Club and e-MasterClub

When a club uses the club software e-MasterClub, the club processes personal data of its members, guests, and other data subjects within the system. For this processing, the club is generally the controller under data protection law (Art. 4 No. 7 GDPR); it decides in particular on purposes, legal bases, roles and permissions, as well as retention and deletion periods within the scope of statutory requirements. e-MasterClub processes the data in this context as a processor on the basis of a data processing agreement pursuant to Art. 28 GDPR. Details on responsibility, supporting data protection processes, and storage, export, and deletion periods are governed by this agreement and the Terms and Conditions, in particular the sections there on scope of services, data protection, and data export.

For questions regarding the processing of your data as a member, guest, or other data subject within the scope of the club software, please contact the respective club as the controller first.

Purpose of Data Processing and Data Categories

Depending on the scope of functions booked by the club, e-MasterClub supports in particular the following processing activities:

User, member, role, and permission data,
Digital membership applications, evidence, cancellations, and related process data,
Court bookings including booking, guest, and pricing rules,
Training and coach data,
Tournament data (entries, participants, schedule, results),
Challenge match and ranking data,
Event, message, and communication data,
Working hours and work assignment data,
Dues, claims, invoice, and SEPA-related data for billing by the club,
Sales, cash register, inventory, guest group, and rental item data,
Files and images uploaded by the club or its members,
Consent data, including versioned consent texts,
Data for processing data protection requests (access, rectification, deletion, restriction),
Technical security, log, and audit data for traceability of security- and integrity-relevant system processes.

Not every technically available function and the associated data processing is automatically part of every contract; the scope of services agreed between the club and e-MasterClub is decisive.

Access Rights

Access to the data stored in the system is governed by the roles and permissions concept defined by the respective club, for example for the board, sports director, coaches, office staff, or other roles assigned by the club. The club, as controller, determines which role can access which data and is responsible for an appropriate assignment and regular review of these permissions.

Processing of Guest Data

Names and email addresses of guests added to a booking by members are visible to the persons involved in the respective booking as well as to authorized roles of the club in accordance with the roles and permissions concept.

Storage and Deletion Periods

There is no uniform retention period for all data categories. Storage and deletion periods depend on the respective processing purpose, the instructions of the club as controller, and statutory retention obligations (e.g. commercial and tax law periods for billing and invoice data). The current provisions on data export, retention, and deletion after contract termination are set out in the data processing agreement and in the register for data export and portability kept in the Terms and Conditions.
